People reading a business's Google reviews look not only at the stars but at the owner's replies. A calm, solution-focused reply to a negative review often says more than the review itself. Defensive or copy-paste replies do the opposite.

This article covers how to write review replies, how to approach negative reviews with fictional examples, which reviews you can report to Google and why fake reviews are a risk. Profile setup and ways to ask for reviews are covered separately in the [Google Business Profile optimization](https://fatihemincakiroglu.com/en/blog/google-business-profile) article.

> Short answer: Reply to Google reviews with short, polite, personalised replies that contain no promotion. For negative reviews, thank the reviewer, acknowledge and apologise if there was a real mistake, move details to phone or email and never share the customer's personal information. Only reviews that violate Google's policies are removed; a genuine negative experience stays.

## Why does replying to reviews matter?

Google's own help documentation says helpful replies to reviews show that a business is responsive to its customers. A reply is written not only for the reviewer but for every potential customer reading the profile.

As of October 2026, when this article was written, Google's documentation includes a few practical details:

- Your Business Profile must be verified before you can reply to reviews.
- Replies are checked against Google's content policies before they appear; this usually takes a few minutes but can sometimes take much longer. If a reply isn't approved, you'll be asked to edit it.
- Replies appear under the business name, not your personal name.
- The reviewer is notified of your reply and can change their review after reading it.
- You can edit or delete your replies later.

Reviews and replies are also among the sources Google's AI features draw on when gathering information about a business. To understand how your business is described in AI answers, see the [GEO implementation guide](https://fatihemincakiroglu.com/en/guides/geo-uygulama).

## Google's recommended reply principles

Google suggests a few simple principles for review replies. Here they are, alongside mistakes I see in practice:

| Principle | What it means in practice | Common mistake |
| --- | --- | --- |
| Keep it short and clear | A few sentences: thanks, response and next step if needed | Writing paragraphs of defence |
| Personalise | Mention a specific detail, use the reviewer's name and sign off | Pasting the same “Thanks” text under every review |
| Don't promote | Write conversationally and skip offers | Stuffing discount codes or keywords into replies |
| Protect privacy | Share no personal, order or appointment details | Disclosures like “We checked your order, your address was wrong” |
| Be honest | Admit real mistakes and explain your limits | Taking the blame for everything, or denying everything |
| Respond promptly | Monitor reviews regularly | Leaving reviews unanswered for weeks |

I know of no reliable basis for the idea that adding keywords like “best hairdresser in Istanbul” to replies helps local rankings; to readers it simply looks artificial and promotional.

## How to reply to positive reviews

With positive reviews, the goal is to say thank you and show you noticed what the reviewer mentioned. Keep it short and don't reuse the same sentence. For star-only reviews with no text, a one-line thank you is enough.

> Example (fictional café): “Hi Elif, thank you for the kind review. We're glad you enjoyed the garden; we'd love to see you for weekend breakfast too. — Murat, for the café team”

## How to reply to negative reviews, with examples

The structure that works for negative reviews is usually the same:

- Thank the reviewer and briefly acknowledge the issue in your own words.
- If there was a real mistake, apologise without getting defensive.
- Be honest about what you can and cannot do for issues outside your control.
- Move the details to a private channel such as phone or email.
- Sign with your name or initials.

All of the examples below are fictional and should be adapted to your business.

### Example 1: Long wait complaint

> Review: “We had a reservation but waited 40 minutes and nobody told us anything.” Reply: “Hello, we're sorry for the wait and the lack of updates; that was our mistake. On busy evenings we now let guests with reservations know about delays in advance. We'd like to hear more, so please contact us on our phone number. — Ayşe, manager”

### Example 2: Review with incorrect information

> Review: “They don't accept card payments.” Reply: “Hello, thank you for the feedback. We accept all bank cards; there may have been a problem with the terminal during your visit. We're sorry about that and have spoken to the team. — Kerem”

### Example 3: Review you can't match to a customer

> Review: “Terrible service, never again.” Reply: “Hello, thank you for your review. We couldn't find your experience in our records and would like to understand what happened. If you email us, we'll look into it personally. — Support team”

### Example 4: Rude or abusive review

Don't answer insults, hate speech or personal attacks in the same tone. Report the review to Google; if you reply, keep it to one calm sentence. A calm reply to a rude review works in the business's favour with other customers reading it.

## Which reviews can be removed and which cannot?

Google states plainly that it doesn't get involved in conflicts between businesses and customers. A review describing a genuine customer's negative experience stays, even if you dislike it. Reviews that can be removed are those that violate Google's content policies: fake engagement, spam, off-topic content, abuse, conflicts of interest and similar.

You can report such a review from the reviews section of your profile or from Google's review management tool. Evaluation usually takes several days, and the tool shows the report's status. If no violation is found, you get a one-time appeal through the tool.

Extortion is a separate case: if a wave of low ratings arrives in a short time, followed by a demand for money or services to remove them, Google has a dedicated report form for this. Google advises not paying, not engaging with the scammer and collecting evidence such as screenshots straight away.

## Why are fake and incentivised reviews risky?

Taking shortcuts to balance out negative reviews puts the profile itself at risk. Under Google's content policies, the following are prohibited:

- Reviews paid for, directly or in kind
- Reviews obtained in exchange for discounts, gifts or other incentives
- Discouraging negative reviews or selectively asking only happy customers
- Reviews from people with a conflict of interest, such as current or former employees
- Offering incentives for removing or changing a negative review

Such reviews are removed and can lead to further restrictions on the business profile. I explain how a steady, policy-compliant flow of reviews supports local visibility in the [local SEO guide](https://fatihemincakiroglu.com/en/guides/yerel-seo).

## Review replies in sensitive sectors such as healthcare and law

For businesses bound by professional confidentiality, such as clinics, lawyers and advisers, the rule is one step stricter: a reply must never confirm that the person is your patient or client. Use general wording like “the experience you shared” instead of “your treatment” or “your case”, and invite them to a private channel.

In these sectors, professional rules may also restrict using reviews for promotion. I cover the details for dental clinics in [local SEO for dental clinics](https://fatihemincakiroglu.com/en/blog/dis-klinikleri-yerel-seo) and for law firms in [SEO for lawyers](https://fatihemincakiroglu.com/en/blog/avukatlar-icin-seo); the general framework for healthcare providers is in the [healthcare SEO guide](https://fatihemincakiroglu.com/en/guides/saglik-seo). ## A weekly review reply routine

- [ ] Turn on new review notifications and check reviews at least once a week
- [ ] Reply to all unanswered reviews, starting with negative ones
- [ ] Report reviews that violate policy and track the report status
- [ ] Note recurring complaints and share them with the relevant team
- [ ] Check that the review request process is applied equally to all customers
- [ ] Prepare a short tone and privacy guide for whoever writes replies

Recurring complaints point to what the business actually needs to fix; writing replies is only half the job. ## Frequently Asked Questions

### Should I reply to star-only reviews with no text?

Yes, a short thank you is enough. For a low rating with no text, you can write one sentence sharing your contact channel so you can find out what happened.

### Is it a problem to write review replies with AI?

It can help with a draft, but always personalise the result. AI replies easily start to sound alike, skip the specific detail in the review and come across as templates.

### Should I reply in the language the review was written in?

Where possible, yes. Replying to an international customer in their language shows care to them and to other readers who speak it.

### Can I ask a customer to change their negative review?

Once you've resolved the issue, the customer may update the review on their own. Offering discounts, refunds or gifts in return, however, violates Google's policies.

### Who can reply to reviews on the profile?

People added to the profile as owners or managers can reply, and replies appear under the business name. If several people write replies, agree on a shared tone and privacy rule.

### Is it worth replying to old reviews now?

Yes, especially negative reviews visible on the first pages of the profile. A short note acknowledging the late reply comes across as sincere.
